1. Overview
This policy explains how cancellations and refunds work for RepairHub subscriptions. We aim to be fair and transparent about our refund practices.
This policy applies to all RepairHub subscription plans: BASIC, PROFESSIONAL, and ENTERPRISE.
2. Free Trial
2.1 Trial Period
- All new accounts receive a 14-day free trial
- No payment is required during the trial period
- Full access to features based on your selected plan
- No commitments or contracts during trial
2.2 Canceling During Trial
You can cancel anytime during your free trial with no charges. Simply go to your account settings and click "Cancel Subscription" before the trial ends.
If you don't cancel before the trial ends, your subscription will automatically convert to a paid plan and your payment method will be charged.
3. Subscription Cancellation
3.1 How to Cancel
You can cancel your subscription at any time through your account:
- Log in to your RepairHub account
- Go to Settings → Subscription
- Click "Cancel Subscription"
- Confirm your cancellation
You'll receive a confirmation email once your cancellation is processed.
3.2 When Cancellation Takes Effect
- Cancellation is effective at the end of your current billing period
- You retain full access to RepairHub until the paid period expires
- Monthly plans: Access continues until the end of the current month
- Yearly plans: Access continues until the end of the current year
3.3 After Cancellation
- Your subscription will not renew
- No further charges will be made
- You can continue using RepairHub until the end of your paid period
- Data export is available for 90 days after subscription ends
4. Refund Policy
4.1 General Refund Policy
Standard Policy: No Refunds for Partial Periods
RepairHub operates on a no-refund policy for partial billing periods. When you cancel, you maintain access until the end of your current billing cycle, but no prorated refunds are issued.
4.2 Exceptions - When Refunds Are Issued
We will issue refunds in the following situations:
A. Billing Errors
- You were charged incorrectly (wrong amount, duplicate charge)
- You were billed after canceling your subscription
- Technical errors resulted in incorrect charges
Action: Contact us within 30 days with transaction details for a full refund.
B. Service Unavailability
- RepairHub was completely unavailable for more than 72 consecutive hours
- Major features were unusable due to technical issues on our end
- Critical bugs prevented you from using the service
Action: Contact support immediately when issues occur. Refunds assessed on a case-by-case basis.
C. Unauthorized Charges
- Someone made unauthorized purchases using your payment method
- Your account was compromised and subscriptions were activated without your knowledge
Action: Report immediately and provide relevant details for investigation.
D. Goodwill Refunds (First-Time Subscribers Only)
For first-time subscribers who cancel within 7 days of their first paid charge:
- You may request a goodwill refund if the service didn't meet your expectations
- Must be requested within 7 days of the first payment
- Does not apply if you used the 14-day free trial extensively
- One-time courtesy only
Note: We encourage you to utilize the free trial period to fully evaluate the service.
4.3 When Refunds Are NOT Issued
- Change of mind after the first 7 days of paid subscription
- Failure to cancel before automatic renewal
- Unused time in monthly or yearly subscriptions
- Dissatisfaction with features that were available during the free trial
- Downgrading to a lower plan (you keep current plan until period ends)
- Business closure or changes in your business needs
- Issues caused by your internet connection or hardware
5. Plan Changes
5.1 Upgrading Your Plan
- Upgrades take effect immediately
- You'll be charged the prorated difference for the remainder of your billing period
- Your billing cycle remains the same
- New features and limits are available right away
5.2 Downgrading Your Plan
- Downgrades take effect at the end of your current billing period
- No refunds for the difference between plans
- You keep your current plan features until the period ends
- Ensure your data fits within the new plan limits before downgrading
5.3 Switching Billing Frequency
- Monthly to Yearly: Takes effect immediately with prorated credit applied
- Yearly to Monthly: Takes effect at the end of the yearly period (no refunds for remaining time)
6. Payment Failures
6.1 Failed Payments
If your payment fails at renewal:
- We'll send an email notification immediately
- We'll retry the payment 3 times over 7 days
- Your account remains active during the retry period (grace period)
- If all retries fail, your subscription will be suspended
6.2 Account Suspension
- After failed payment, your account is suspended (read-only access)
- You have 30 days to update payment information and reactivate
- After 30 days, your account may be permanently deleted
- No refunds are issued for suspended accounts
7. Data After Cancellation
7.1 Data Export
Before canceling, we strongly recommend exporting your data:
- Go to Settings → Data Export
- Export customers, invoices, products, and transaction history
- Data is provided in CSV and JSON formats
- Export functionality remains available for 90 days after subscription ends
7.2 Data Retention
- 0-90 days: Full data retained; you can reactivate anytime and resume where you left off
- After 90 days: Non-financial data is permanently deleted
- Financial records: Kept for 7 years per Sri Lankan tax law
7.3 Reactivation
If you reactivate within 90 days, all your data will be restored. After 90 days, you'll need to start fresh with a new account.
8. Refund Processing
8.1 How to Request a Refund
If you believe you qualify for a refund based on the exceptions listed above:

- Include your account email and transaction details
- Explain the reason for your refund request
- Provide any supporting documentation
8.2 Refund Timeline
- We'll review your request within 3-5 business days
- If approved, refunds are processed within 7-10 business days
- Refunds are issued to the original payment method
- It may take 5-10 additional days for your bank to process the refund
8.3 Partial Refunds
In rare cases (such as extended service outages), we may issue partial refunds or service credits at our discretion.
9. Annual Subscriptions
9.1 Special Considerations
Yearly subscriptions receive a 17% discount (equivalent to 2 months free):
- The discount is only available if you commit to the full year
- Canceling mid-year does not result in a prorated refund
- You continue to have access for the entire paid year
- We recommend testing with monthly billing first if you're unsure
9.2 Early Cancellation of Yearly Plans
If you cancel a yearly plan early, you will not receive a refund for unused months, but your access continues until the year ends. This is clearly communicated at purchase.
10. Chargebacks
If you initiate a chargeback through your bank or credit card company:
- Your account will be immediately suspended
- We will provide evidence of service delivery to your bank
- Chargebacks without attempting to resolve the issue with us first may result in permanent account termination
- Please contact us directly to resolve billing issues before initiating a chargeback
